Sending Emails
It is possible to send emails directly from your Membri 365 environment. However, this feature must be enabled.
Configure a signature
Your Membri 365 environment, just like the platform you traditionally use for your emails, can store signature templates.
- Open personalization settings
- Select the
Electronic signatures
tab - Select
New
to open the form Create Electronic Signature - Fill in the various fields of the Signature tab
Fields | Description |
---|---|
Name | Name of the signature in the system |
Language | It is possible to have a signature template for each of the languages enabled in your environment. |
Set as default | When this field indicates yes, this signature will automatically appear at the bottom of your emails. |
- Using the Signature Editor, create your signature.
You cannot copy an existing signature and paste it into the text editor if it contains images. It is absolutely necessary to build the signature from the signature editor.
- Select
Save and close
in the toolbar to validate the creation of the signature in your environment.
Send an email
It is possible to send a single email to entities (accounts, contacts or participants) in your database. It is possible to access the module for sending email in several ways.
From an account or contact timeline
- Select the account or contact card to whom you want to send an email
- Navigate to the Timeline of the account found under the Summary tab
- Select the

to Create timeline record - Select the
Email
option to open the form Create Email - Fill in the various fields of the form
- Compose the email using the text editor
It is only after registering the email that the module for add an attachment is available

from the toolbar to send the email

From the Activities page
- Select the Activities page in the Communications section of the main menu
- Select

Create an email template
There are two different types of email templates in your Membri 365 environment.
- Automated email templates
- Email templates for manual sending
Automated email templates are templates built in HTML that can be viewed in the Email Templates page of the Configuration menu.
Manual email templates are templates built in a text editor in the CRM and can be viewed and shared from the personalization settings of the environment. It is this second type that is in question here.
- Open the personalization settings
- Select the
Email templates
tab - Select
New
- Choose the type of model
Model types are categories of models. Models of one type cannot be chosen to be sent to entities of different types.

Global | Template that can be sent to all entity types |
Account | Template that can be sent to accounts |
Contact | Template that can be sent to contacts |

Fields | Description |

Name | The model name in Membri 365 |
Authorization level | If the field says Individual, you will be the only person with access to this template. If the field says Organization, your colleagues will also have access. |
Category | Field filled in automatically in connection with the type of model chosen. This will then allow you to add dynamic values to the email template. |
Language | Allows you to specify the language of the email template |
Description | Allows you to describe the email template for members of your organization |
Template Editor
Indicate the subject of the email. It will be used as the subject of the email sent.
Use the integrated text editor to create your email template
Select
Save
from the toolbar to create the template in your environment
Add attachment to template
It is only after saving the model that the module to add an attachment is available
- Select
+ Create Attachment
- Using the file explorer, select the file to add to the email.
- Select

from the toolbar to add the attachment to your template
Add dynamic values to the model
When creating a template, it is possible, like with traditional Word mail merge, to add dynamic fields. Dynamic fields are entities that allow each email to be personalized with information that can be found on the file of the entity that will receive the email. You could, for example, add the name of the contact on the email to make everyone feel a little more engaged by the message of your email.
- Indicate, using the cursor, the location in your model where to add a dynamic field
- Select
Insert dynamic text
from the toolbar - Using the Record type drop-down menu, select the type of record (the record) on which the information to be displayed is located
- Using the Field name drop-down menu, select the field containing the information to be displayed in the email template.
It is possible to add several dynamic values at once by selecting + Add data field
- Fill in the field Default text
If the chosen value fields are empty, the text entered in the Default text field will be displayed. This avoids empty spaces and misunderstanding.
- Select
Insert
to add the dynamic values to the model.
Send an email from a template
- Navigate to the accounts list
- Check accounts to email
- Select
Send Email
from the toolbar to open the Send Email form - Fill in the different fields of the form:

To | If the records selected on current page option is chosen, you will send the email to the accounts checked on this page. If the option All records on the current page is chosen, you will send the email to all the records displayed on the page, regardless of the accounts that have been checked. If All records from all pages is chosen, the email will be sent to all accounts on all pages in this list. |

Model | Search field that allows you to choose the previously created template to send from among the system templates |

Emails sent to accounts from the CRM are displayed in their Chronology.
