Committees

Committees are an entity that allows you to group several contacts around the same theme (whether they are really a working group or not).



Create a committee

  1. Select +New in the toolbar to open the committee creation form;

  2. Fill in the fields in the Committee information box;

FieldsDescription
NameDetermine the name of this committee.
ManagerDetermine who is the responsible contact for this committee.
Start dateIndicate the date on which the work of this committee will begin.
End dateIndicate the date on which the work of this committee will end.

Note that it is possible to display the different active committees of your environment on your website. However, this committee register is not a standard page of our WordPress plugin. You should talk about it with our support team and your web designer so that the committees are brought back to your site from the CRM through our API.

The next three fields contain committee-related information that can be uploaded to the web.

FieldsDescription
OrderThis field allows you to identify the position in which this committee will potentially appear in your website's committee registry.
MissionThis field allows you to identify the mission of each of your committees.
Spokesperson MessageEnter a message from the spokesperson for each of your committees, if necessary.
  1. Select Save in the toolbar to validate the creation of the committee in the environment.

Add contacts to a committee

Once the committee has been created, all you have to do is identify which contacts from your database are members of it.

  1. Select + New committee member from the Committee members section to open the new committee member form;

The Committee member entity is used to make the link between the committee and a contact form. A contact can be associated with several Committee member entities.

It is this association that will allow us to know the history of participation of a contact in the various active or inactive committees of the environment.

  1. Complete the various fields of the form;

ContactUse the search field to select or create a contact to associate with the committee.
RoleIndicate the role this contact will have on the committee.
OrderIndicate the position this committee member will occupy on the potential committee registry on your website.
DescriptionEnter a description about this committee member.
  1. Select Save & close to validate the creation of this committee member;

  2. Repeat steps 1-3 to associate more contacts with this committee.


Identify contacts who are part of a committee

The point of associating contacts with committees is mainly to keep an up-to-date list of contacts who sit on each of your organization's committees.

You can use the contact lists that are associated with each of your committees to send emails.

It is the Member of the committee entity that makes it possible to link the Contact and Committee entities. Here is an example of a query that allows you to identify the contacts associated with a committee:

All you have to do is save this query as a new view and share it with other users as needed.
