Single Sign-On (SSO) Feature

Now, simplify your users' connections with our new Single Sign-On feature. After a successful initial login, this feature allows a user to be automatically and securely authenticated when using new authorized URLs.

This feature has the advantage of reducing the need for the user to re-enter their credentials when moving from one authorized product to another that requires the same login information. For example, if a member has already logged into the portal, they won't need to do it again when registering for an event, thanks to Single Sign-On, enhancing their overall experience.

The integration of Single Sign-On automatically covers all Membri products in your environment that require member login. Additionally, you have the flexibility to add new URLs according to your specific needs.

Custom Translation for the Members Portal Homepage

You can now customize the homepage of the members portal based on the user's display language. Create a translation for the Membri365 portal and add information that you find relevant for your members.

Alerts

New module that causes the creation of alerts of different types (notification in app p.e.) when certain actions are taken or occur in the CRM.

For example, it is now possible to receive in-app notifications when a new membership registration is received from the website form.

Manage environment images

It is now possible to change the images/logos of your organization that are found in different places (email templates, ticket office, etc.) without contacting us. See this section to learn more.

Application to scan physical tickets

You can now download an application linked to Membri that will allow you to scan physical tickets without going through Locali-T.

General questions related to the event can now be created.

Limit the number of tickets sold

A new ticket types limit allows you to choose the number of tickets sold on a certain ticket type.

New features

Set an expiration date after X days on a discount code

You can now provide your members with a discount code to encourage the payment of an invoice within a period of your choice. Example: you request that the promotional code applied on an invoice cancel after 30 days. Your customer will then have 30 days to pay their invoice in which case the discount code will no longer be valid.

For full details, see the Expire discount after x days field of the discount codes.

New merge token for the object of event registration confirmation emails

You can now use the [%EventName%] merge tokens in the subject line of event registration confirmation email templates. Consult our email template section to learn more about using our built-in editor.

Only allow one-time use of a discount code

You can now limit the use of a discount code to one time for each of your members. This feature gives you greater control, enabling you to restrict an account from using the same discount code on separate invoices.


Version - 2.13

It's been a long time since we introduced you to a new version of Membri 365. This does not mean, however, that we are sitting on our laurels. It is quite the opposite!

For several months, we have been working on a variety of new features to take the product to the next level. There are so many that we even had to rethink how we write the release notes. They will now be separated by modules as well as themes/new features. So you can consume them at the speed you want according to your interests.



General Features

Bug fix

  • We fixed many labels.

  • Error fixing in the formatting of LinkedIn links.

  • We adjusted the Already paid field on member registrations, event registration, and donations. The field is now called Prepaid.

Activity Sectors

We have made a slight change to the business lines. They now use the Name field instead of the Description and Description EN fields.

Canada Post module called Address Complete

It is now possible, after purchasing a solution that is added to Membri 365, to use Canada Post's Address Complete module in the various forms in your environment.

Contact types

We added a new field on the contact card called Contact Type. You can assign multiple types to a single contact.

Creating contacts

Creating non-member contacts now only requires a full name.

Dashboards section name

Another small modification! The main menu section Dashboards changed its name to Overview to avoid redundancy.

Date format on Email templates

We added a new field in the Email template section to choose the Date format display on the chosen email template.

Email templates adjustments

We adjusted the email creation and the default templates.

Formatting international phone numbers

Membri 365 now supports formatting national and international phone numbers. Simply choose the option you are interested in, in the Phone number formatting type field in the user interface setting box in the Information tab of the environment settings.

It is also possible to support two types of formatting by entering the default country code for formatting in the following field. For example, registering CA for Canada will ensure that phone numbers will, if they contain the correct number of digits, be formatted by default according to the North American model. If they contain more numbers, they will be considered international and formatted according to the international standard.

Hide the use of discount codes on the online payment platform

We added a new field in the settings section which allows you to Hide discount codes on the online payment platform.

Member Portal

The Membri 365 member portal is now available so that your members can, among other things, access their listings and edit their own information. However, we did not stop there. Here's everything your members can do on the portal:

  • View and modify the information on their account sheet*
  • View the company's contact list and modify their information*
  • View and modify the information on their contact card
  • View their billing history (if the user is a member)
  • Consult and pay the various open invoices
  • Access the PDF of the invoices and print them
  • View contribution credits and credit transaction history**
  • Consult the gratuities and the history of free transactions**

Access to the portal will be through Membri authentication (email + password). This authentication can also be used on integrated ticketing to access the member price.

Membership approver role

We added a new field in Member Settings that let you choose security roles for CRM users who will be able to Validate membership with discount codes.

Time zones

We added a new field in settings that determine the Default Local Time Zone used to convert UTC dates and times in email communications and interactions using third-party systems.

Bug fix

  • Fixed a bug that caused the Past Member status to be displayed when paying for an upgrade.

Account billing contact

You can now add an Invoicing Contact directly to an account in the Billing tab.

We added Salutation and Function fields on the billing information of an invoice. If left empty, invoice contact information will be used.

Account Owner

The owner of an account is always the CRM user who creates the account. It is possible to manually change the owner of a record by using the button Assign from the toolbar.

What's new related to this concept:

  • An account owner changes when a membership or an upgrade is charged. The new owner will be the user responsible for the creation and the billing.

  • We added a new setting that allows you to send notices of assessment (invoices related to the memberships) from the email address of the user who owns the account.

  • It is also possible to insert the name and signature of the CRM user who owns the account in the email templates of invoices by inserting the following placeholders in the HTML code of the invoice template:

Adjustments to the accession process

  • It is now possible to set the start date of the membership on the membership registration form.

  • This date can be earlier than the date you create the membership. However, this has no impact on billing.

Benefits and Membership Credits

Membri 365 now allows you to manage gratuities and membership credits from your CRM.

Benefits

Create benefits, organize them into packages, and add them to your membership packages so your member uses them.

Select the set of benefits to link to the membership fee at the time of membership application or renewal of a member.

You can also determine which contacts of the account are entitled to use the benefits.

Contribution credits

It is now possible to have membership credits for your memberships. Credits are determined by membership package options. The credits can then be used on invoices within Membri or the new Membri365 online ticketing.

Deadline to reactivate a suspended member

A new setting allows you to indicate how long it is no longer possible to reset a denied renewal. It will then be necessary to go through a membership application to generate a new membership for this account.

When a renewal is denied, the remaining benefits on the account are no longer available.

If a denied renewal is reset, the benefits associated with the account will be reactivated.

Email templates by membership package

Each membership package can now have its own membership invoice and renewal invoice email template. Standard templates can be overridden directly in the membership package option.

Generate renewal in advance

When you select an active membership, you will see a new button in the toolbar that allows you to generate the next member renewal. The renewal will not be created automatically. You will have to wait for the next activation of the renewal handler which activates every 15 minutes.

Managing delegates and VIP contacts

We have two new contact categories! Both categories have their particularities:

VIP contacts are prestigious contacts, who are not registered on the membership fee as delegates, but who may have certain privileges such as access to member rates at the online ticketing.

Manager contacts are not necessarily delegates but will receive the account assessments instead of the primary contact and can make changes to the company's account form through the member portal.

Member History

A new entity debuts in Membri 365: The Contact Membership. This will allow you to have a better history of delegates. Previously, when a delegate was removed from a membership prior to renewal, the link between that contact and that membership was lost. Well, thanks to the contact membership, this information is now saved. This makes it easier to view contact history from one membership to another without false interruption.

Monthly membership

Membership packages were limited to a duration of years. The duration of the membership packages is now set in months to allow you greater flexibility.

Override the tax group for a membership package

You can now override the tax group on a Membership Package. This tax group will be applied to the various invoices that will be linked to it (membership application, renewal, and upgrade).

Parent and child accounts

We've made a small adjustment that allows you to change the value of the Primary Contact field of a child account.

Upgrade

Is your new promotions and sales skills paying off and do your members want to switch to a membership package that offers them more benefits? Well, you don't have to wait for their renewal to make this change thanks to the new upgrade entity!

Use of Product Description on Membership Invoices Labels

You can now modify the default product description on your membership invoices labels by using the Use products for invoice labels field in your membership package. If the product description is empty, the product name will be used by default.


Events and Ticketing

Bug fix

  • Mandatory questions are now skipped if participants are anonymous and can be answered later.
  • The ticketing logo pointed to a 404 error. That is no longer the case.
  • Fixed labels for the English/French translation on the ticket office.
  • It is now impossible to set the field Use text field for province and country to Yes if the field Use text field for the city is at No.

Activity participant assignment module

You can now create groups/tables of participants for each of the activities of an event. You can then assign activity participants to these groups/tables. Those assignments are possible thanks to our new entity: activity participants. After buying a ticket, an activity participant is created for each activity of the ticket sold.

For example, a ticket that provides access to two activities will generate two activity participants. You will then be able to assign the first activity participant in a group and then the second activity participant to another group for both activities respectively.

Paul Jones buys a ticket to your organization's annual golf tournament that gives him access to two activities:

  1. Golf Round
  2. Dinner

This purchase generates two activity participants

  1. Paul Jones the golfer
  2. Paul Jones the dinner guest

Each of these participants can then be assigned to a different group/table:

  1. Paul Jones the golfer will play in quartet 3
  2. Paul Jones the dinner guest will eat at table 6

The creation of groups/tables and the assignment of activity participants can be done from the Tables tab on each of the activities of an event.

A new field in the Participant entity called Assignment Notes allows you to take notes that will simplify the assignment of activity participants.

Activity participants roles

It is now possible to create roles for activity participants and assign them through the table/group assignment module.

Administrator Mode

With ticketing administrator mode, make registrations and bill them directly through the integrated online ticketing. The administrator mode even allows you to take notes and assignation notes related to each of the participants. The notes will be displayed directly on the participant's file.

Custom Email Templates

Each event can now have a custom reminder email template as well as a custom registration confirmation email template.

Download physical tickets

A new Download Tickets button is now available in the toolbar of the Event Registration and Participant entities.

If you decide to download the tickets through the Event Registration entity, all tickets related to the chosen registration will be downloaded. However, you can access the file of a single participant to download his ticket only.

This option is handy for manually resending tickets to participants.

Edit ticketing platform first step warning

It is now possible to customize the warning available on the first step of the online ticketing system. In the box Ticketing translations, we added the field Operation warning for the member list.

Event Copy

New Event copied from field to determine from which event the event was copied.

Event Location Types

The pandemic has shown us the importance of being flexible. For that reason, we now allow you to choose from three types of event locations: In person, Hybrid, and Online. When selecting type Online, it is no longer necessary to specify the address/location where the event takes place.

Event owner

The user who creates an event is considered the owner of the event. Therefore, the event has a new field named Owner.

Event Tags

We've added a section on the event creation form to apply tags to events. This allows you, like contact or account tags, to group events that have themes/points in common. By doing so, you will now be able to make queries on elements that were linked together before.

Event translations

The creation of an event is now bilingual. All text related to an event can be translated from French to English or from English to French.

  • If translations of the event, activities, and tickets are made in Membri 365, the integrated ticketing can display all content in the chosen language by the person registering for the activity.

  • Confirmation and reminder email templates can be translated and will show the event content in the correct language.

  • When registering a participant, you can now enter the preferred language for communications. That way, even if the registrant does not speak the same language as one of the participants in his registration, everyone can receive communications in his/her preferred choice.

  • When creating tickets, the date format is also translated.

New flow for Participants tab of the Event Module

You can now use the flow Generate contact from... to create a contact for one or many participants of your event.

New online ticketing interface

The ticketing interface has been completely revised and updated with the latest version of Angular. This should make your users' experience more enjoyable.

New Ticket Limits

Limit access based on a view

This limit is probably the most flexible of all the limits available when you create a ticket type. You can now limit access to certain types of tickets to certain accounts or contacts views. Start by creating a view with filters on a list of accounts or contacts in your environment, save it, and select it from the Limited Access tab.

If elements are added to the chosen view between the time of the selection and the closing of the ticket office, you can refresh the view to add new elements using the Refresh view field.

Limit access to members

A new field on the Limited Access tab of the creating ticket types form allows you to create tickets that are only available to members.

One-time emails

A new field on the Ticketing tab of the event creation form allows you to request that each participant on registration has a unique email. The Participant emails must be a unique field, which is responsible for this embedded ticketing behavior, and is only displayed if you enable the field Participant email required.

Partial cancellation of participants on a registration

Deactivating a participant from an event registration creates now a partial participant cancellation. The participant is then removed from the event's participants list and, depending on the invoice status, a cancellation or refund invoice is issued.

It is also possible to make a complete cancellation of the event registration after the partial cancellation. The total amount will then be recalculated to make a refund/cancellation of the difference.

Participant information

Participants can now update their own information using a link on each participant's registration confirmation email.

Also, you can add an expiration date on this link so that no late changes are made after your final export of participants and answers to activity question lists.

Promo codes on the online ticket office

Create discount codes, chose which product they may apply to, determine their expiration date, and share them with the right people to boost your event registrations. People can now enter the discount codes themselves before proceeding to the online payment, simplifying your entire registration process.

Sales and Participant Analysis tabs

New tabs have been added to the event-form to track sales (only available if you have the sales module) and participants associated with your events.

Secret tickets

It is now possible to design secret tickets. Only people with the URL associated with a secret ticket will be able to access this type of ticket. They will, of course, have access to all the other tickets to which they normally have access. This feature is great for promoting a special rate to a contact list!

Security

Members can now use their Membri Authentication to access member rates at an event's ticket office. Simply enable this feature in event settings.

Use of contribution credits

The Ticketing tab of the event creation form contains a new field to determine if membership credits can be used when registering for the event.

Contacts who are eligible to use an account's membership credits can apply them to a registration balance from the online ticketing office.

VIP Contact Management

A new field on the Ticketing tab of the event creation form allows you to determine whether VIP contacts on an account card have access to member pricing on the integrated ticketing.


Invoicing and Accounting

Bug fix

  • Adjustments in Sage Accounting's sync tool so that the credit notes payments are negative.
  • Bug fix when adding products to a promo code.
  • Bug fix related to a time zone error on the payment's date of an invoice.
  • You cannot change the invoice creation date of a manual invoice anymore.
  • The value of the "Block Invoice Email" field is now tracked from a solicitation to a partnership.

Automatic payments

Members can now enter their credit card information for their membership fee payments to be made automatically. This is especially handy for monthly memberships. The feature is currently only available with Moneris and Global Payments.

Changes to invoices

We moved the Billed On field to the Summary tab of the invoice.

We've also changed the name of the system view Bills to Pay to Invoices to pay for a little more clarity.

Changes to invoice emails

A new field in the invoice email templates allows you to change the name of the PDF file that accompanies the email.

Chapters

Invoice Settings and Accounting System Settings are now split by chapters to allow more flexibility for each organization you oversee within the same Membri 365 environment.

Each chapter can now have its own sequence of invoice numbers.

You can also link an event to the chapter of your choice.

You will also need to associate each of the products and discount codes with a chapter.

Choosing the language to resend an email

We have added Override display language and Display language fields on invoices to allow you to override the language in which the invoice email is sent. All you have to do is to choose the desired language and select Resend Email from the toolbar.

Deferred/prepaid revenue

You can now configure the settings of Membri 365 to collect income received in advance and to specify when this income should be collected.

Each product now has a section to indicate whether invoice lines containing that product should generate an entry for deferred revenue.

A field directly on the product allows you to indicate the Ledger number of which deferred revenue entries must go before being collected.

Accounting synchronization is only available with Sage300 and BusinessCentral.

Discount Codes

The discount codes or promo codes have received a bit of love from our development team. Here are the changes that are most likely to interest you:

  • You can now apply discount codes to event registrations from the online ticket office.
  • A new field on the discount code allows you to apply the code to certain products rather than the entire invoice. Indeed, if the By product field is Yes, you will be able to choose all the eligible products for the discount code.
  • You can now apply up to 3 discount codes on an invoice or directly on a membership.
  • Of course, a new type of discount code has been created so you can apply discount codes to upgrade invoices.
  • As the configuration of the environment is now done by chapter, your discount codes will also have to be linked to a chapter.

Do not synchronize invoices at $0

A new option is now available in your Accounting System Settings so you don't have to synchronize a $0 revenue invoice.

New payment platform: Moneris

You can now link the Moneris platform to Membri 365.

Notice of Assessment

Notices of assessment are, in fact, invoices that will not receive their invoice number until payment is received. This also prevents them from being transferred to the accounting system before payment is applied to it.

Override the invoice template

We can now use the Override the invoice template option directly on your invoice.

Products Group

You can now create product groups. Those groups will allow you to be more effective in setting goals for sales.

Products ID

We've added a new product field that allows you to create a Product ID.

Sync status In review

You can now enable a new option in your Accounting System Settings allowing the In Review accounting synchronization status to be assigned to system invoices. The field in question is called Review invoices before transfer and allows you to validate each of the invoices in the system manually before transferring them to your accounting system.

Bug fix

Dashboard Solicitations

A new dashboard allows you to track the different solicitations that have a reminder date and which sponsors to charge.

Goals

You can now create sales goals related to events or membership. You can create team goals or individual goals.

New types of solicitation campaigns

Three new types of solicitation campaigns are now available:

  1. Member Registrations
  2. Upgrades
  3. Renewals: Rather than being able to create a campaign of this nature, it is now possible to generate a solicitation each time a renewal is generated. This feature can be activated in the Information tab of your Membri 365 environment settings.

Sales connected to invoices

A new entity named Sales is now connected to all invoice lines. It is thanks to sales that you can now calculate goals.

Source of a solicitation

A new field has been added to all solicitations so you can define its origin/source. It's more than a field, it's a new entity that you can create and associate with the other solicitations of your environment.

  • Adjustment to the Created on field of Donations' notice now says Billed on.
